The Eisenhower Matrix helps you focus on what really matters by identifying where to allocate your time and energy effectively.

How does it work?

You prioritize tasks according to importance and urgency.

  • 🔥 Important & Urgent(DO): Handle now — these tasks are on fire! (e.g., crises, last-minute deadlines, pressing problems)

  • Important but Not Urgent(PLAN): Schedule it — focus on long-term wins. (e.g., planning, skill-building, relationship, personal development tasks)

  • 🚀 Not Important but Urgent(DELEGATE): Delegate away — someone else can handle it. (e.g., routine emails, small tasks)

  • ❌ Not Important & Not Urgent(DELETE): Cut it out — these are pure time-wasters. (e.g., distractions, unproductive scrolling, irrelevant tasks)

How can you apply it to your own life:

Here are some questions to help you place your tasks in the matrix.

For Important & Urgent (Do):
  • What are the immediate consequences if I don't complete this task now?

  • What’s the worst-case scenario if I delay this task?

For Important but Not Urgent (Plan):
  • What long-term goals will this task help me achieve?

  • How can I allocate time for this before it becomes urgent?

For Not Important but Urgent (Delegate):
  • Is someone else better suited to handle this task?

  • Why does this feel urgent, and is it really my responsibility?

For Not Important & Not Urgent (Eliminate):
  • Why am I spending time on this, and what value does it add?

  • What would happen if I stopped doing this altogether?

These questions can help clarify what truly matters and guide you in making better decisions about how you spend your time.

I am a big of Clark Kegley. He is a well known youtuber who focuses on helping people better themselves. He has a meticulous way of breaking down complex concepts and explaining them in a way that is easy to understand.

Clark mentions that the number one skill in the 21st century is FOCUS, and he’s not wrong!

We are in the age of distractions.

I know I am guilty for getting caught in a social media frenzy after just checking my phone for the time or a notification that pops up.

Here is a brief summary of what is covered in this video.

What is deep work and what it is not?

  • Deep work is your ability to focus on a demanding task without distractions. (Challenging tasks, Tasks we are avoiding)

  • Shallow work includes tasks that are not cognitively demanding. (Emails, Unproductive meetings)

The three rules you need to know to work deeply?

  1. Deep work is important.

  2. Deep work is really hard.

  3. Deep work is fulfilling.

The three best pieces of productivity advice?

  1. Plan to Type - This is where your plan time for your deep work. This can be done through seclusion, periodic sprints, scheduled daily time or random deep work times.

  2. Eliminate Distractions - Have a deep work only environment that works for you, give up your biggest distractions.

  3. Deep Recovery - Deep work drains your battery, deep recovery is just as important as deep work.

The 3 states of work:

  • Flow State exists when your challenge meets your skill level and you find the “zone”.

  • Boredom exists when you have too much skill and not enough challenge.

  • Anxiety exists when there is too much challenge and not enough skill.

Flow state is when you are at your happiest and most productive. That’s the goal!
